Managing Your Schedule & Tasks: Optimising Daily Operations

Managing your schedule effectively is a crucial component of high - level real estate transactions. When dealing with multiple clients, property viewings, and notary appointments, relying on memory is a critical liability.

The PropertyList infrastructure provides a centralised Calendar designed to seamlessly manage your daily tasks, ensuring you never miss a vital opportunity.

Step - by - Step: Managing Your Schedule

Let’s break down the exact operational steps for managing your schedule and deploying new events on the PropertyList platform:
  1. Step 1: Access the Calendar Infrastructure
    · Log in to your secure PropertyList account to access your digital headquarters.
    · On the left - hand side menu, click the “Calendar” tab. This will immediately take you to your centralised, visual calendar view.
  2. Step 2: Initiate a New Event
Once you are inside the calendar view, you have two strategic options to initiate a new task:
    · Option A: Look for the dedicated button that says “New Event” and click it.
    · Option B: Alternatively, for rapid scheduling, you can click directly on the desired time slot on the visual calendar grid where you wish to schedule the appointment.
  3. Step 3: DefineEvent Parameters
You will now be prompted to provide the specific details required to structure the event:
    · Event Title: Make it highly descriptive and clear so you can instantly identify the nature of the event at a glance later on.
    · Start and End Time: Specify the exact start and end time for the task. If it is an all - day occurrence, mark it as such.
    · Event Note: Write any relevant operational notes about the event, such as gate access codes, client preferences, or viewing instructions.
  4. Step 4: Assign Accountability & Set Alerts
    · Agents: Strategically assign the specific staff agent (or multiple agents) who should be linked to this event. Each agent you select will automatically receive internal notifications related to this task, ensuring total team alignment.
    · Notifications: Decide exactly when you want the system to notify you about this event prior to its start time, ensuring you are always fully prepared for the meeting.
  5. Step 5: Link Strategic Assets
    · Add Property: If the scheduled event is related to a specific property mandate (such as a viewing or an inspection), you can seamlessly link the active MLS listing right here.
    · Add Contact: Link the event directly to a saved contact profile within your Smart CRM - whether they are a client, a direct buyer, or a seller.
  6. Step 6: Save and Deploy
    · Once you have meticulously filled in all the necessary strategic details, locate the “Save” button.
    · Click “Save” to officially deploy the event into your active calendar.
